Do You Have an Afterschool Program for Young People? Do You Need Help Providing Food?

The CACFP At-Risk Afterschool Meal Program is funded by the United States Department of Agriculture (USDA). In order to receive funding to provide no-cost meals for children, all sites must follow USDA rules and regulations.
HOW DOES SPPS'S AFTERSCHOOL MEALS PROGRAM WORK?
SPPS provides food to youth afterschool enrichment and care programs at no cost to the program. Program staff are required to complete and provide daily paperwork in order for SPPS to claim and receive reimbursement to cover the costs of the food.
WHAT MEALS CAN BE PROVIDED?
This year, we will have two meal options: Snack and Power Snack.
- Snacks = Traditional two component snack with 2-3 items, and kids must take all items on the menu. For example: String cheese and pretzels.
- Power Snacks = Snack type items that have five components with 4-5 items, including milk. Kids must take all components, except milk can be offered on the side and kids do not need to take the milk. For example: String cheese, pretzels, turkey stick, carrots, a fruit cup and milk (which must be offered but kids do not need to take it).
Monthly menus will be posted on the website once finalized.
HOW DO WE GET THE FOOD? WHAT SORT OF STORAGE REQUIREMENTS ARE THERE?
On the site application, you will indicate which SPPS school location you would like to have as your supporting school. You will need to pick up all the food and documents from your supporting school. We are unable to deliver the food to your site.
Some meals and food items will require refrigeration. All food must be stored properly and safeguarded against theft, tampering or damage. Failure to safeguard food can result in your program being charged for lost or stolen food.
WHAT ARE RECORD-KEEPING REQUIREMENTS FOR PROGRAMS?
Program staff must complete and send to the supervisor at your supporting school site the following documentation on a daily basis. This documentation is required by the USDA. Failure to complete and/or submit your paperwork daily will result in your program being charged for any food received.

What do I do if I need to make a change to a previously submitted site application?

What do I do if I ran out of food?
Contact the supervisor at your supporting school site to talk about a back-up plan. This will also help to ensure the correct amount of food is ordered for the next service day.

What do I do if my cooler temperature is higher than 41F?
Contact the supervisor at your supporting school immediately about the temperature of the cooler, food and milk. Do not serve the meal unless it is determined that any non-shelf stable foods are safe to consume.

What do I do if I have an allergy concerns?
If you have a newly enrolled participant with a documented allergy, please notify the supervisor at your supporting school as soon as possible. The supervisor can provide allergy sheets if the student is a SPPS student, and help to clarify about which foods are safe for the child to consume. Going forward, the supervisor will modify the meals to accommodate the allergy. For other allergy concerns, contact Cole Welhaven at 651-523-6325 or cole.welhaven@spps.org. If you recognize that a child may be experiencing a severe allergic reaction, call 911 immediately. Do not leave the child unattended for any length of time.

What should I do if I'm missing a meal component?
When you pick up meals at the school, it is very important that you check to make sure that all components are included. We can only be reimbursed for meals if all the required components are offered, including milk with power snacks. If you catch a missing component early enough, call the supporting school supervisor to see see if you are able to get the missing component before serving time. If you notice a missing component at serving time, keep serving and let the supervisor know how many meals were served with a missing component. Clearly indicate this number on your production record.
